Job Title: Inventory Assistant
Department: Operations/Inventory
Reports To: Inventory Coordinator
Work Pattern/Hours: Full Time
Key Roles and Responsibilities:
- Inventory Management:
- Receive, store, and issue goods to all internal sub-stores and users, maintaining proper records of all transactions.
- Regularly run reports on items below re-order level and raise timely purchase requisition orders.
- Coordinate material receiving from external suppliers.
- Inspect and verify materials received from suppliers against purchase order specifications and delivery documents.
- Transfer materials to respective storage shelves and departments, ensuring proper handling, shelving, and coding of items.
- Storage and Issuance:
- Maintain the First Expiry First Out (FEFO) and First in First Out (FIFO) systems for storage and issuance of items.
- Conduct regular asset counts and spot checks, generating reports on asset status/condition and updating the asset register.
- Participate in monthly and/or random stock takes, verifying system computations against physical stock counts, and investigating/reporting discrepancies before adjustments.
- Support and Communication:
- Store items in an orderly and accessible manner, ensuring clean and non-overstocked storage areas.
- Communicate with end-users to provide first-rate support for general supply needs.
- Participate in formulating inventory SOPs and policies.
- Receive supplies on SAP with signed and stamped delivery notes.
- Control overconsumption and/or wastage of supplies by placing general supply requests according to monthly consumption breakdowns.
- Ensure both old and new assets are coded, and asset possession forms are filled and filed where necessary.
- Ensure all issued supplies are accounted for.
- Place inventory requisitions on SAP.
- Perform other duties as assigned.
Qualifications:
- Education:
- Certificate in Procurement, Supply Chain Management, or any other related field.
- Professional Qualifications:
- Qualification in Procurement, Supply Chain Management, or any other related field.
- Experience:
- 2 years of experience in Supply Chain Management.
- Skills and Knowledge:
- Knowledge and experience in inventory management.
- Knowledge in systems and record management.
- Familiarity with major donor and local regulations is desirable.
