Job Title: Hostel Matron
Reports to: Principal School of Nursing
Job Summary
The purpose of Hostel Matron is intended to create a safe, supportive, and conducive living environment where students can thrive academically, socially, and personally.
Duties and responsibilities
Students Welfare:
- Ensure the students hostel environment is academically and socially conducive to learning.
- Create a welcoming and supportive environment for hostel students.
- Help to settle in all new boarders and participate in orientation process, ensuring as far as possible that any settling in problems are resolved.
- Promote a sense of community and foster positive relationships among students.
- Address and resolve any conflicts or issues that arise between students
- Provide guidance, support, and assistance to students as needed.
- Ensure the hostel environment is conducive to the health and well-being of students.
Emergency Response:
- In the event of an emergency such as fire, natural disaster, or medical crisis, the warden plays a crucial role in coordinating evacuation procedures, providing assistance to students, and liaising with emergency services as needed.
- Keeps detailed records of any significant illnesses / injuries encountered by boarders and oversee their recovery, and monitoring as necessary.
- In case of emergency, such as illness, he/she will ensure timely arrangements for treatment and communication with the Principal.
Policies, Rules and Regulations:
- Establish and communicate hostel rules and regulations to students.
- Enforce compliance with rules and address any violations or misconduct promptly and implementing appropriate disciplinary measures when necessary
- Maintain discipline and ensure a respectful and harmonious living environment.
- Setting expectations for behavior
- Ensures maintenance of discipline and decorum in the common room.
- Pursue, at an appropriate level, all complaints relating to common room items like television.
- Resolve day-to-day issues of the hostel and keep log of all complaints made by students and follow up with the principal for corrective measures
- Ensure no illegal activities are conducted in the hostel premises including but not limited to use of illicit drugs.
- Take appropriate action against such misbehavior and disciplinary issues of the students.
Safety and Security:
- Implement and enforce safety and security protocols within the hostel premises.
- Conduct regular inspections to ensure compliance with safety standards.
- Respond promptly to emergencies and take appropriate action.
- Collaborate with relevant authorities or emergency services when necessary.
- Oversee the overall security of the hostel premises.
- Monitor hostel entry and exit points, ensuring that only authorized individuals are allowed in
- Take necessary steps to prevent unauthorized access and coordinate his/her responsibility with the Security Officers.
- Conduct regular inspection of the dining hall, especially when students take their meals and enforce discipline and decorum in the dining hall.
Maintenance and Repairs:
- Conduct regular inspections to identify maintenance needs or safety hazards.
- Undertake daily room inspections, ensuring that rooms are kept to a good standard and to identify any hygiene and cleaning concerns.
- Coordinate and oversee routine maintenance and repairs of the hostel premises.
- Promote adherence to hostel policies and procedures
- Liaise with internal and approved external contractors or vendors for repairs and maintenance services.
- Ensure cleanliness and hygiene standards are upheld throughout the hostel.
- Supervise all the activities in the hostel including upkeep of the facility, and general wellbeing of the students
- Periodically verify hostel furniture and fittings and liaise with services manage for fixing.
- Ensure the hostel facilities are used appropriated and are not misused or damaged.
- Ensure that the overall ambience of the hostel premises remains worth living
Administrative Tasks:
- Manage the hostel registration process, including check-ins and check-outs.
- Maintain accurate records of students, bookings, and occupancy rates.
- Coordinate room assignments and maintain an updated inventory of hostel facilities.
- Complete administrative tasks such as reports, incidents reports
- Verify financial transactions such as payment of accommodation fee and managing expenses.
Communication/Liaison/reporting:
- Serve as a point of contact between the students, school administration and external stakeholders such as parents/guardians. Effective communication skills are essential for conveying important information, addressing concerns, and maintaining positive relationships with all parties involved.
- Maintain effective communication channels with students and hostel management.
- Provide regular reports to the management regarding hostel operations and issues.
- Address inquiries, concerns, or feedback from students and their guardians.
- Collaborate with other staff members to ensure seamless coordination.
- liaise with the principal and finance to ensure clearance of finalists students before graduation.
Essential Qualifications
Academic and Professional Qualification
- Diploma in Housekeeping or Institutional Management from a recognized academic institution
- KCSE certificate
- Prior experience in hostel management, student housing, or a similar role.
Experience
- Minimum of 3 years experience in managing a hostel.
General skills and Personal Attributes
- Prior experience in hostel management, student housing, or a similar role.
- Strong interpersonal and communication skills to interact effectively with diverse students.
- Maturity with excellent organizational and problem-solving abilities.
- Knowledge of safety and security procedures and ability to respond to emergencies.
- Familiarity with relevant legislation and regulations related to hostel management.
- Proficient computer skills for maintaining records and managing administrative tasks.
- Ability to work flexible hours, including evenings and weekends if required.
- Empathy, patience, and a genuine interest in supporting residents’ well-being.
