Human Resources Assistant (INT9778) – Oxfam

The Role

Oxfam is seeking a passionate and dedicated Human Resources Assistant to provide essential support in various HR functions, contributing to the organization’s performance and mission to end poverty through the empowerment of its people.

Key Responsibilities:

Recruitment and Selection:

  • Collaborate with recruiting managers to develop, review, and finalize job profiles and staff requisitions.
  • Prepare and circulate authorized recruitment advertisements in line with Oxfam’s branding guidelines and practices.
  • Facilitate long-listing and short-listing of candidates, prepare employment contracts, terms of reference, and job profiles.
  • Coordinate interview processes, update recruitment progress through eACRU system, and maintain accurate records.

Information Management:

  • Ensure confidentiality, accuracy, and up-to-date maintenance of all HR documentation, including personal records.
  • Manage the staff database in GOLD and provide HR data for monthly and quarterly reports.
  • Process medical records and payroll inputs promptly.
  • Facilitate expatriate staff’s visa and permit requirements.

HR Service and Support:

  • Manage time-sheets for Humanitarian and partner staff, adhering to donor requirements.
  • Support line managers in orienting and inducting new employees with HR welcome packs.
  • Assist Global Humanitarian Support Personnel with work authorizations and permit/visa tracking.
  • Collaborate with the Logistics team to set up temporary sub-offices in designated response areas.
  • Respond to employee queries, following labor regulations and Oxfam HR policies.

Skills and Competence:

  • Minimum Bachelor’s Degree or Higher National Diploma in HR, Psychology, or Business Administration.
  • At least one year of HR/Office administration or relevant experience.
  • Proficient in communication systems, office management, and organizational skills.
  • Familiarity with local labor regulations.
  • Strong computer skills, including email operations.
  • Effective communication, patience, and courtesy.
  • Ability to work under pressure and in insecure areas.
  • Flexibility, adaptability, and initiative.
  • Team player, capable of making decisions and managing workflows.
