VACANCY ANNOUNCEMENT

Applications are invited from suitably qualified persons for the following position:


Position: Assistant Office Administrator III (CSG 12)

Vacancy No: 4/2024
Number of Posts: Thirty (30)
Terms of Service: Permanent and Pensionable

(a) Salary and Other Benefits:

  • Basic Salary: Ksh 28,620 x 1,110 – 29,730 x 1,120 – 30,850 x 1,150 – 32,000 x 1,170 – 33,170 x 1,250 – 34,420 x 1,300 – 35,720 x 1,380 – 37,100 per month.
  • Allowances:
    • Commuter Allowance: Ksh 4,000 per month
    • House Allowance: As per the region deployed
    • Leave Allowance: Ksh 4,000 per annum
    • Leave Entitlement: 30 working days per annum

(b) Duties and Responsibilities:

This position serves as the entry and training grade for this cadre, with the Assistant Office Administrator III working under the guidance of a senior officer. Key duties and responsibilities include:

  • Taking oral dictation
  • Processing words and data from manuscripts
  • Operating office equipment
  • Ensuring security of office equipment, documents, and records
  • Attending to visitors and clients
  • Handling telephone calls and appointments
  • Maintaining an up-to-date filing system in the office
  • Supervising office cleanliness
  • Undertaking other office administrative duties as assigned

(c) Requirements:

For appointment to the grade of Office Administrative Assistant III (CSG 12), candidates must possess:

  1. Educational Qualifications:
    • A Kenya Certificate of Secondary Education (KCSE) with a mean grade of C- (minus) and at least a grade of C (plain) in English or Kiswahili, or an equivalent qualification from a recognized institution.
  2. Professional Qualifications:
    • A Diploma in Secretarial Studies from the Kenya National Examinations Council (KNEC) OR
    • Business Education Single and Group Certificates (BES & GC) from KNEC in the following subjects:
      • Typewriting III (50 w.p.m.) or Computerized Document Processing III
      • Shorthand II (80 w.p.m.)
      • Business English II or Communications I
      • Office Practice II
      • Secretarial Duties II
      • Commerce II
      • Office Management III or Office Administration and Management III
  3. Additional Requirements:
    • A Certificate in Computer Applications from a recognized institution
