Applications are invited from suitably qualified persons for the following position:
Position: Assistant Office Administrator III (CSG 12)
Vacancy No: 4/2024
Number of Posts: Thirty (30)
Terms of Service: Permanent and Pensionable
(a) Salary and Other Benefits:
- Basic Salary: Ksh 28,620 x 1,110 – 29,730 x 1,120 – 30,850 x 1,150 – 32,000 x 1,170 – 33,170 x 1,250 – 34,420 x 1,300 – 35,720 x 1,380 – 37,100 per month.
- Allowances:
- Commuter Allowance: Ksh 4,000 per month
- House Allowance: As per the region deployed
- Leave Allowance: Ksh 4,000 per annum
- Leave Entitlement: 30 working days per annum
(b) Duties and Responsibilities:
This position serves as the entry and training grade for this cadre, with the Assistant Office Administrator III working under the guidance of a senior officer. Key duties and responsibilities include:
- Taking oral dictation
- Processing words and data from manuscripts
- Operating office equipment
- Ensuring security of office equipment, documents, and records
- Attending to visitors and clients
- Handling telephone calls and appointments
- Maintaining an up-to-date filing system in the office
- Supervising office cleanliness
- Undertaking other office administrative duties as assigned
(c) Requirements:
For appointment to the grade of Office Administrative Assistant III (CSG 12), candidates must possess:
- Educational Qualifications:
- A Kenya Certificate of Secondary Education (KCSE) with a mean grade of C- (minus) and at least a grade of C (plain) in English or Kiswahili, or an equivalent qualification from a recognized institution.
- Professional Qualifications:
- A Diploma in Secretarial Studies from the Kenya National Examinations Council (KNEC) OR
- Business Education Single and Group Certificates (BES & GC) from KNEC in the following subjects:
- Typewriting III (50 w.p.m.) or Computerized Document Processing III
- Shorthand II (80 w.p.m.)
- Business English II or Communications I
- Office Practice II
- Secretarial Duties II
- Commerce II
- Office Management III or Office Administration and Management III
- Additional Requirements:
- A Certificate in Computer Applications from a recognized institution
