Job Vacancy: Finance Assistant (2 positions)

Organization: International Organization for Migration (IOM)

Location: Regional Office, Nairobi, Kenya

Reference: IOMRONBO/SVN/016/2024

Classification: General Service Staff, Grade G-5

Type of Appointment: Special Short Term Graded Contract (9 months, with possibility of extension)

Estimated Start Date: As soon as possible

Core Functions / Responsibilities

  1. Manage financial resources by monitoring and controlling assets, reserves, funds, supplies, etc.
  2. Assist in preparing annual budget submissions and revisions, including estimating staff costs and other expenses.
  3. Extract and input data from various sources in financial or accounting systems.
  4. Provide guidance on accounting, budget, and financial-related issues.
  5. Assist in preparing the payroll by executing validity checks on monthly payroll results.
  6. Review all types of payments, ensuring they are duly authorized and supported.
  7. Create new Vendor Accounts in PRISM.
  8. Verify vendor claims for accuracy and conformance with IOM finance policies.
  9. Perform claim verifications to ensure that purchases/services are properly authorized.
  10. Assist in preparing budget, accounting, financial, and statistical reports.
  11. Provide assistance with staff services such as travel, expense claims, document retrieval, etc.
  12. Ensure systematic completion of all posted payments and other accounting documents.
  13. Manage the Petty Cash of the office.
  14. Perform other related duties as required.

Required Qualifications and Experience

Education:

  • High School diploma with five years of relevant experience; or
  • Bachelor’s degree in Business Administration, Accounting, Finance, or related fields with three years of relevant professional experience.

Experience:

  • Proficient in Microsoft Office applications (Word, Excel, PowerPoint, E-mail, Outlook); previous experience in SAP is an advantage.
  • Attention to detail and ability to organize paperwork methodically.
  • Discreet, detail- and client-oriented, patient, and willing to learn new things.
  • Prior work experience with international humanitarian organizations or in a multi-cultural setting is an advantage.

Skills:

  • Knowledge of MS Office products and good computer literacy skills are required.

Languages:

  • Required: Fluency in English and Kiswahili (oral and written).
  • Desirable: Working knowledge of French or any other UN Official language is advantageous.
