Position Overview
The successful candidate for the position of Assistant and Receptionist will play a crucial role in the Embassy’s operations. Working under the supervision of the Consul, the role requires excellent organizational skills, flexibility, and the ability to manage multiple responsibilities. Key Duties and Responsibilities
The Assistant and Receptionist will be responsible for the following:
- Coordination of Visa and Consular Services:
- Assisting applicants in processing visa applications.
- Managing consular inquiries and providing timely, accurate guidance.
- Reception and Front Desk Operations:
- Manning the reception area and serving as the first point of contact for visitors.
- Handling calls, emails, and in-person inquiries professionally and courteously.
- Liaison with Government Ministries and International Organizations:
- Facilitating effective communication between the Embassy and Kenyan government ministries, as well as other diplomatic missions and international organizations.
- Administrative Duties:
- Drafting official documents, including note verbales, letters, reports, and other communications.
- Maintaining organized records and managing document filing systems.
- Supporting general administrative tasks to ensure smooth daily operations.
- Event and Project Support:
- Assisting in planning and coordination of Embassy events and projects.
- Ensuring logistical arrangements for consular activities are effectively managed.
- Other Duties as Assigned:
- Performing additional administrative responsibilities as required by the Consul or the Embassy management.
