Job Objective/Purpose
The Transport Coordinator will lead, manage, and optimize all transport services, ensuring timely, safe, and reliable operations.
Key Responsibilities
•Oversee and manage all hospital transport operations, including emergency and ambulance services, ensuring 24/7 readiness and swift response times.
•Supervise outsourced courier services and ensure consistent quality and efficiency.
•Manage the dispatch desk to ensure efficient coordination of transport requests, vehicle allocation, and timely service for patient and document transport.
•Oversee routine maintenance and servicing of all transport vehicles and motorbikes, ensuring high uptime and reliability.
•Conduct regular training sessions focused on safety, patient handling, and emergency protocols.
•Ensure that the department is run according to Avenue’s laid down procedures and protocols.
•Develop and manage the transport department budget, tracking expenses, and identifying cost-effective solutions.
•Monitor fuel consumption, vehicle usage, and cost trends to optimize resources and allocate budgets effectively.
•Ensure all vehicles are fully equipped, stocked, and maintained to the highest safety standards.
•Organizes renewal of all road licenses and insurance before expiry.
•Establish and maintain service level agreements (SLAs) and address any service issues promptly.
•Uphold high standards for transport operations, ensuring compliance with healthcare regulations and safety protocols.
•Work closely with Quality and Compliance teams to maintain regulatory standards across all transport services.
•Ensure that all logbooks – mileage, record of trips are completed by each driver
•Ensure that drivers get copies of approved transport requisition forms for staff transport requests and that they carry only authorized passengers.
•Ensure that fuel consumption is monitored and any discrepancies (drastic increase or reduction) per vehicle are explained.
•Ensure that all incidents – delays, mechanical problems; accidents etc. are immediately reported and takes appropriate action to rectify or solve the problem
•Ensure that vehicle use (especially at night and on weekends) is monitored using the Fleet Tracking system and any misuse or suspected misuse is dealt with immediately per laid out procedures.
•Always maintain client and patient privacy and confidentiality
•Any other duty as assigned by the supervisor in line with the job description.
Person Specification
1.Diploma/degree in Logistics, Transportation Management, or a related field.
2.Valid driver’s License, C1 and above.
3.Minimum of 2 years in transport/logistics management, with at least 1 year in a healthcare or high-priority setting
