Job Title: Office Assistant (Reliever)

Reports To: Procurement and Administration Officer
Job Summary:
The Office Assistant is responsible for providing day-to-day office administration and support to the Procurement and Administration Officer. This role requires a detail-oriented professional with a strong understanding of office management processes and excellent people relations skills.
Duties & Responsibilities:
- Communication and Distribution:
- Distribute staff monthly communication allowance and data bundles.
- Assist in document distribution (internal and external).
- Support in filing and archiving.
- Office Management:
- Manage food and beverage services for staff and guests.
- Run office errands; handle dispatches and collections.
- Maintain and replenish office inventory, anticipating needed supplies.
- Support logistical operations for both office functions/operations and fieldwork.
- Support the receiving of goods as required by the supervisor.
- Oversee the day-to-day running of the office, including purchases of all consumables.
- Manage the front office/reception, ensuring visitors and guests feel welcome.
- Compile the Nairobi staff lunch schedule for monthly reimbursement.
- Follow all health and safety regulations.
- Support Office Cleaners.
- Ensure OSH compliance in the Nairobi office.
- Miscellaneous:
- Perform other related duties as required by the supervisor.
Qualifications:
- Certificate/Diploma in administration-related courses.
- Certificate in computer applications with relevant work experience.
- Good oral and written communication skills.
- Strong problem-solving skills.
